Purpose of This Document

This document explains how CallMyDoc™ ScheduleMyPatient™ enables fully automated patient self-scheduling over the phone and web. This capability is currently available only for practices using athenahealth and relies on athenahealth’s native consumer scheduling configurations.

Overview

ScheduleMyPatient™ is CallMyDoc’s AI-powered self-scheduling module that allows patients to book appointments by phone in 30–40 seconds using only their name and date of birth. It is designed specifically for athenahealth practices.

Why Scheduling Is a Revenue Problem

Appointment scheduling consumes a disproportionate amount of staff time. Calls take five to ten minutes, front desk staff spend up to forty percent of their time booking appointments, missed calls create empty slots, and long hold times cause patient abandonment—directly reducing revenue.

Many patients avoid portals because they forget login credentials, do not know where to log in, or simply prefer phone-based interaction. ScheduleMyPatient™ removes these barriers by using the phone as the primary interface.

How ScheduleMyPatient™ Works (athenahealth)

ScheduleMyPatient™ imports athenahealth scheduling rules, including allowed appointment types, provider availability, and date range restrictions, ensuring patients can only book appointments athenahealth already permits.

Phone-Based Self-Scheduling

Patients call a dedicated ScheduleMyPatient™ number, enter their date of birth, answer guided questions, select valid appointment options, and book in under forty seconds—without any staff involvement.

Mini Web Scheduler

A lightweight web scheduler allows patients to book, reschedule, or cancel appointments without a portal login, using only name and date of birth, with confirmations sent automatically.

24/7 Scheduling Access

Patients can schedule appointments nights, weekends, and holidays, enabling practices to fill schedules outside normal business hours.

Referral Scheduling

Dedicated scheduling numbers and links can be created for referral partners, allowing referrals to book directly without calling the front desk.

Analytics and Conversion Visibility

Built-in analytics show where patients drop off, conversion rates, utilization and capacity trends, and comparisons between self-scheduled and staff-scheduled appointments.

Important Platform Limitation

ScheduleMyPatient™ currently works only with athenahealth practices. Availability for other EHRs depends on future scheduling API support and roadmap priorities.
